Filter Builder

The Filter Builder enables you to define one or more conditions to filter SharePoint files and folders.

Condition Type: Specifies how multiple conditions are evaluated.

And: Returns items that satisfy all configured conditions.
Or: Returns items that satisfy at least one configured condition.

Filter Fields

The following fields are available in the Filter Builder:

1. Created By: Filters items based on the user who created the file or folder.
2. File Extension: Filters files based on their extension.
3. File or Folder Name: Filters items based on the file or folder name.
4. Last Modified By: Filters items based on the user who last modified the file or folder.
5. Shared With User: Filters items shared with a specific user.
6. Size (Bytes): Filters files based on their size in bytes.

Supported Operators

Depending on the selected field, one or more of the following operators are available:

Text-Based Operators

1. Contains: Returns items that contain the specified value.
2. Equals: Returns items that exactly match the specified value.
3. Does Not Contain: Returns items that do not contain the specified value.
4. Not Equals: Returns items that do not exactly match the specified value.

Numeric-Based Operators

1. Equals: Returns items that exactly match the specified value.
2. Less Than: Returns items with values less than the specified value.
3. Less Than or Equal: Returns items with values less than or equal to the specified value.
4. Greater Than: Returns items with values greater than the specified value.
5. Greater Than or Equal: Returns items with values greater than or equal to the specified value.

Note: The available operators depend on the selected filter field. Text fields such as File or Folder Name and Last Modified By support text-based operators, while numeric fields such as Size (Bytes) support numeric comparison operators.

Configure an Advanced Search Filter

1. Select Advanced Search as the Search Type.
2. Open the Filter Builder.
3. Select And or Or to define how conditions are evaluated.
4. Choose a filter field.
5. Select the required operator.
6. Enter the filter value.
7. Click Add to add more conditions, if required.
8. Click Save to apply the filter.

Example

To retrieve PDF files larger than 1 MB, configure the filter as follows:

Condition 1

Field: File Extension
Operator: Equals
Value: pdf

Condition 2

Field: Size (Bytes)
Operator: Greater Than
Value: 1048576

Condition Type

And – The activity retrieves PDF files that are larger than 1 MB and processes each matching item within the Do section.
